overview

internal tools for mayfest productions' tech team. the club runs a huge festival on spreadsheets and word of mouth — we're building org-owned web tools so crewing, scheduling, and ops get easier year over year. not a public product launch; software meant for people inside the organization.

problems addressed

  • golf carts: limited inventory, unclear who's using what, keys changing hands with no paper trail — need clearer "who / why / how long."
  • member ops: dues, certifications, attendance, and related data scattered across spreadsheets.
  • scheduling: crews finding their assignments in wide sheets slows everyone down on lakefill-heavy days.
  • alumni: not much structured contact once people leave active production.

planned direction

  • two-year project: fall 2025 through spring 2027.
  • year one is a web mvp; year two aims at a mobile app.
  • roll out in phases — scheduling for dillo day first, then member and alumni tooling.
  • productions module for golf carts: reservations, priority when carts are scarce, session history.
  • optional check-in at handoff so key masters know who has what, plus self-service views for crew.
  • different access levels for crew, leads, and admins.

status

the year-one web mvp shipped for dillo day 2026 as a crewing app. still aligning with committees as the platform grows over the two-year plan.

2026 festival usage

the crewing app saw roughly 121k reads over the 2026 festival cycle — crews used it heavily for day-of scheduling and ops on the lakefill.
